1. What we heard from you

Orca Lodge already has the important part working: Little Hotelier keeps the room calendar connected to Booking.com and Expedia, and guests can complete a reservation online.

The public website is the weak point. It has been broken in places, it is difficult to manage, and it does not give you one simple place to collect guest questions, direct inquiries, or permission for future offers. Some guest communication also still takes more manual work than it should.

The goal is not to replace working systems for the sake of it. We will improve the public website and guest experience first, keep Little Hotelier in charge of confirmed reservations, and test deeper booking control only after the busy season.

2. What we will build

Website - A fast new home for Orca Lodge

We will replace the current WordPress site with a fast, mobile-friendly website hosted and managed by 1000x Sales. It will make the accommodations, fishing charters, location, travel details, and booking path much easier to understand.

Guest assistant - Answers without guessing

The website will include a guest chat assistant trained on approved Orca Lodge information. It will answer common questions and send booking-ready guests to the correct reservation page.

Private door codes, lockbox details, WiFi passwords, payment information, and other sensitive arrival details will never be placed in the public assistant.

1000x Sales platform - One place for inquiries and follow-up

Website forms and chat inquiries will enter a private Orca Lodge workspace inside the 1000x Sales platform. You will be able to see who contacted you, what they asked about, and what needs a reply without searching through separate inboxes.

Guest messages - Less repetitive work

Little Hotelier currently knows when a reservation is created, changed, or canceled. For that reason, we will first use and improve the automatic messages already available there rather than creating a fragile duplicate.

3. How the systems work together

  1. A guest visits orcalodge.ca to compare rooms, plan the trip, ask questions, or check availability.
  2. Questions and inquiries enter the 1000x Sales platform so Lynne has one organized place to review and respond.
  3. Booking-ready guests continue into Little Hotelier to complete the secure reservation.
  4. Little Hotelier keeps Booking.com and Expedia synchronized using the reservation system already in place.

Little Hotelier remains the reservation authority. It continues to manage confirmed bookings, availability, payments, and connected booking channels. The new website and 1000x Sales platform handle discovery, questions, inquiries, permission, and the path into direct booking.

4. Built safely around your busy season

We will not change the live website, room calendar, booking connections, payment settings, or business email during the busy season.

  1. Build privately. The new website and guest system are created on a private preview address.
  2. Review together. Len and Lynne approve the pages, answers, forms, and booking path.
  3. Test after busy season. We test the complete experience without completing or changing a live guest reservation.
  4. Launch with a fallback. The old hosting remains available during cutover, and the direct booking link is tested before the new site becomes public.

Website and guest system build - $3,500 CAD

This is the complete one-time price for the website, 1000x Sales workspace, guest assistant, initial knowledge base, forms, inquiry pipeline, consent tracking, booking handoff, Little Hotelier review, message setup, testing, training, and 30 days of launch stabilization.

Kickoff - $1,750 CAD. Content, account review, the private website build, and guest-system setup begin.
Acceptance - $1,750 CAD. Due after the agreed pages, forms, chat, tracking, and booking handoff pass review, before public launch.

Managed continuity - $97 CAD per month

The monthly service begins when the new website goes live. It is month-to-month and can be canceled at any time.

Clear boundary. The monthly service does not include managing reservations, changing room rates, operating Booking.com or Expedia, issuing refunds, creating new campaigns every month, major website changes, or building new integrations. Any new project is discussed and approved before work begins.

7. Future recommendation: more direct-booking control

The current booking system works, so there is no reason to replace it during the initial website project. After the busy season, we recommend testing whether more of the direct-booking journey can be brought under Orca Lodge's control.

Path 1 - Connect the new website more deeply to Little Hotelier

If Little Hotelier provides supported access, the Orca Lodge website could eventually display live availability, capture guest details, accept direct payment, create the reservation in Little Hotelier, and automatically update the availability sent to Booking.com and Expedia.

This would keep the system that already works while giving Orca Lodge more control over payments, customer information, communication, and the booking experience.

Path 2 - Move to a more open booking platform

If Little Hotelier cannot support that connection, Orca Lodge could consider moving to a booking platform designed for custom website connections.

That could allow Orca Lodge to control the full direct-booking experience, receive direct payments into its own account, synchronize Booking.com and Expedia, and send reliable reservation events into the 1000x Sales platform.

This future work is optional and not included in the initial price. We would recommend it only if the benefits from faster payments, fewer manual steps, stronger follow-up, and more direct bookings justify changing a system that currently works. It would be tested and quoted separately before any live account is changed.

8. What is not included

Your information remains yours. Orca Lodge can request an export of its website inquiries, guest permissions, and agreed platform records at any time.
